We can help you to save production time, increase validation accuracy and improve navigation of data with EDocuments integrations.
Autodesk Construction Cloud (ACC), Autodesk Revit, or BIM 360 users can sync and extract model data, files and tasks between Autodesk products and the EDocuments Platform.
The EDocuments platform allows end user clients to store and validate data for the provision of Operation and Maintenance Manuals. This data comes to EDocuments in a variety of ways from direct input into our web platform, data imports from COBie and data extracted directly from 3D models (IFC and Revit). While a project is hosted within the platform, the platform allows the users to visualise models via the Autodesk Forge API alongside the validated asset data we hold. At the end of a project, EDocuments can push the validated data back into the 3D models via our Revit Plugin.
If you are using ACC, you can directly view your 3D models within the EDocuments platform. It then dynamically links all the available assets from the digital O&M manuals with the entities in the 3D model. This provides a useful navigation tool. But more importantly, a validation tool highlighting managed and non-manged assets. The EDocuments platform and viewer can also federate many models together.
If you normally upload and download data from CDEs, you can save even more time. The EDocuments platform has sophisticated automation rules for moving files and data between platforms.
We also allow IFC files to viewed in the 3D model viewer.
At the end of a project, we have a range of exports tools - outputs to Microsoft Word, PDF, Excel, COBie, IFC, Autodesk REVIT and more.
EDocuments is an Autodesk partner and accredited Autodesk developer and are working closely with Autodesk to develop further solutions.

Yes. We work closely with Government Cabinet Office, BSI Group and buildingSMART to ensure we are always compatible with UK Government BIM requirements. We are also working on BIM Level 3 solutions. EDocuments is proud to be Kitemarked for BIM, previously BS1192, and ISO19650 parts 2 and 3.

The EDocuments platform contains a COBie validator. This allows you to validate the COBie from within the platform, OR you can upload your own COBie file and check how valid it is.
The result is a simple shareable web-based report.

Construction Operations Building Information Exchange (COBie) is a non-proprietary data format for the publication of a subset of building information models (BIM) focused on delivering asset data as distinct from geometric information.
EDocuments automatically delivers COBie from the asset, products and material data that users input into the platform.
Via the “Outputs” option, you can export a COBie Excel sheet whenever you wish.

BIM Links (Online) is an online model linked to the EDocuments O&M manual. It contains a data link between model objects in the viewer and asset data in the O&M manual. At the end of the defects period, the Client will need to pay an annual hosting fee for continued access to the online O&M manual.

We often get asked to export the following:
- BIM Data (offline) – Data to Revit/IFC model transfer, Data Transfer - O&M asset data (type/component) pushed back to the Revit model object element properties creating SPR_COBie prefix.
- Navis model (offline), Navis model objects with O&M asset data as above.
- IFC export directly from the EDocuments platform, which includes the manged O&M data.

We will create procedures to ensure everyone in the process understands the BIM protocols. Our as-built BIM data is dynamically linked to 3D models, Revit, Navisworks, IFC and we can display whatever parameters are required. Click on the model object or entity will display the attribute data.

Contractual
EDocuments is frequently employed by the principal contractor so we are limited in how we can assist the client. We ensure the principal contractor's information is delivered to the required standards to meet the specification.
If we are appointed by a building owner / end user (Client), then we act as part of your team to manage the designers, contractors etc in providing information documentation, review, signoff, and delivery. We are there to ensure the information complies with your standards and legal requirements under CDM Regulations.

To get the most from the platform, users need to be onboarded. The EDocuments standard onboarding is as follows:
- Set up meeting and training on using the software.
- Set up document templates on the EDocuments software platform to the required format and workflow, Level of information (LOI) for each system and asset type as per the EIR / BEP documents.
- Ongoing software support.

There are four main security roles, all of which can be managed by the Employer's operatives with training.
- Admin – full access and administration to create and control projects and user rights and security.
- Reviewers with Edit/Author – content creation, task setting.

We recommend a phased transition and prioritise the buildings that hold the highest risk and those we make frequently make alterations.
This will depend on number of projects and the documents within each project, however, EDocuments Services Team provides a similar service to a national contractor and spend anything from a day to approximately 5-6 days. We can also provide training so you can upload data into the platform yourselves, and EDocuments can provide assistance when needed.

The EDocuments platform can also extract and insert data into Revit and IFC models. Data can be exchanged using COBie, spreadsheets or directly via software APIs.

Integrations
Yes. If you are using Autodesk Construction Cloud (ACC), you can connect and extract data directly to the EDocuments platform. For entity data, all the data from the model. Some users refer to this data as family data and type data. Autodesk call this the “property list data”.
If you are a REVIT user, you will need to upload your .RVT file to the EDocuments platform for processing.
Note that the complex data extraction is carried out by Autodesk via the Forge-API, which is embedded into the platform.

Yes. We have both generic and custom CAFM export formats within the platform. More recently we are seeing many CAFM platforms request COBie as the data exchange format.

Partially. We can simply extract all entity data from the IFC model into the EDocuments platform. We no longer support updating the IFC model, but we can provide the updated asset information via COBie. We used to update IFCs but customers have not requested this functionality for some time.

Yes. We can support any form of record documentation. We also have online user guides where information can be delivered via a public or private website. This enables information to be easily updated and distributed easily and cost effectively without the need to print.

This takes the form of a series of meetings with the stakeholders and, most importantly, the end user asset manager to define the asset in the context of how it is to be managed through its life.
The coding of both systems and assets will follow a recognised system such as NRM, Uniclass, VBIS, or CAWS in the absence of a system predefined by the design team.
We will create and manage a database to manage either single or multiple code systems, naming conventions, locations so that all information providers have a single point of reference.
Once established we will create a test set of data and get stakeholder approval.

The technical authors will commence the process of collecting the information for each of the assets in conjunction with an assistant who will find information from:
- Design specifications
- Technical submittals
- Sub-contractor information
- Construction issue layout drawings and schematics
Part of the process will be discussing with the review team, as to extent of what needs to be collected and reviewed, including the process of dealing with missing or late reviews.
EDocuments uses both of internal and external technical writing resources who can provide a good quality documentation with the appropriate level of detail, thereby reducing the number of comments made and therefore delivery of the documents.
We have found that MEP sub-contractors who use their own technical authors generally need an amount of training as they do not generally put in the level of detail expected. Therefore, if this is the case, it can have a detrimental effect on the approval and delivery process.

EDocuments requires your assistance when lack of progress, non-adherence to process and procedures by the team are impacting negatively on the delivery of information and therefore ultimately on quality and delivery, examples include:
- Information is unavailable, late, incorrect, wrong status or format.
- O&M manuals are not being provided to the required format.
- Reviewers are failing to complete their reviews within the specified time.
- Tasks and reminders being ignored.
We will use our best endeavours to ensure we work with the whole team to reduce the impact of any deviations to process and inform you at the earliest opportunity of potential cost implications.

The data required will depend on the template selected.
The template is designed to be assigned directly to the supply chain user. They should find the form self-explanatory to complete.
Assuming we are discussing a typical construction industry sub-contractor / supply chain user, then they will be prompted by the application with guidance for a description of the works carried out, details of equipment or materials supplied any residual risks, and relevant operation and maintenance information as well as any drawings certificates, guarantees, warrantees.

A typical recommended process is as follows:
Typically, 4 weeks prior to Practical Completion (PC), our Project Managers will organise a “CLOSE OUT” meeting with the project team. They will discuss the deliverable for handover including how outstanding information and tasks are to be managed. Customers will have online access to the handover information via the EDocuments platform. Here they can view, download and print all the latest information. If printed copies are required, we will require a minimum of 4 weeks prior notice.

To expedite the transfer of data and gain the full benefits of our Platform, we need access to the latest, most accurate construction information in the formats detailed below. If required, we can also provide templates for any of the document registers listed below:
- Access to your CDE or file sharing portal.
- Project Directory for whole team including contact names, telephone, and email address (XLSX, DOCX).
- Package List with telephone numbers and email address (XLSX, DOCX).
- Programme – deliverable dates including phases, if applicable (any format).
- Review team list detailing which elements or packages to review including contact details if not listed in Item 2 above (xlsx, .docx).

The information can be hosted and managed either using an online cloud system or on-premises cloud together with other online and offline options. Processes can be set up to manage the ongoing information and update of the data, for the life or the building.
We can provide access to information via graphical front ends to access O&M information, videos, panoramic images, QR codes. All can be accessed via mobile devices.

Typically, users are looking for an offline archive for assurance of their data. However, if you want EDocuments to export the data for you, we typically offer:
- Single output, 4 x memory stick with hyperlinked PDF, print ready.
- Drawings, Models and Documents - native file formats, such as DWG, DXF, RVT, IFC and PDF.

The exported electronic version is a fully indexed, searchable and formatted PDF complete with hyperlinked index to all sections, literature, certificates and drawings. It is not a collection of unlinked documents in a folder structure. It can therefore be printed on demand by the end user. This saves time, money and storage space. Security
Yes. EDocuments supports Multi Factor Authentication (MFA). As well as your email address, we recommend using either the Microsoft Authenticator or the Google Authenticator app on your phone to provide the second form of authentication.

Yes. The EDocuments platform allows Microsoft Azure Active Directory users to login using their business/company Microsoft account. This will require your an administrator from your company to switch it on for all users.

EDocuments has been in managing data for buildings for over 22 years. We are proud to be ISO27001 security kite marked. We have robust externally audited processes for managing our business, software and customers data.
EDocuments offers multiple solutions for making sure you have access to your data in the event of EDocuments going out of business.
- The most popular and simplest solution is you can export your data from the platform at any time, pulling the data into your own data warehouses as a continuous back up, essentially taking snapshots of the data. All the exported files are readable using the standard Microsoft applications, Word, Excel, with 3D models exported in their native formats. With this example customers often pull the data at key project milestones.
- EDocuments also offers a data push and pull model for various CDEs such as Asite, Viewpoint, 4 Projects, Aconex, Procore and we're happy to develop other adapters if your CDE has an API.

Systems, types, and components
Yes, it is built on the structure defined by COBie, but can be highly customised and extended beyond the scope of COBie.
The asset data layer can automatically validate against the LOI (Level of information) or AIR (Asset Information Requirements) configured within the application.

With reference to the construction industry our definitions are as follows:
System = Construction systems are the ways in which materials are combined to construct the elements of a building. We often refer to UNICLASS where these have the “Ss_” code identifier.
Type = The types of products in the building, the most important type data being their reference, name, and contact information for the manufacturer.
Component = Each instance of the “type objects” are what we call the “Components”, most important data being the reference or serial-number.

Construction Operations Building Information Exchange (COBie) is a non-proprietary data format for the publication of a subset of building information models (BIM) focused on delivering asset data as distinct from geometric information.

The platform is a Software as a Service (SaaS) model, hosted and managed by EDocuments to an agreed SLA for a fixed period or for an annual licence fee.
