The Project

Due to physical condition and educational constraints, the original 1960’s building was demolished making way for the first phase of this project which saw the construction of a brand new two-storey science block.

The second phase of works focused on the Grade II listed Kingwood building. The aim being to enhance the teaching provisions for the schools’ transition to a Science, Technology, Engineering, and Mathematics (STEM) specialist academy.

Across both phases, in order to minimize disruption to the overall learning for the students saw the use of temporary modular classrooms, housing students away from the works.

The Challenge

Construction requirements

EDocuments was instructed to provide industry compliant handover Information to the end user and their FM team. Information had to be accurate, structured and easily accessible. Documents included a health & safety file, O&M manuals, building logbook and BREEAM building user guide, with automated asset register.

Operational requirements

To deliver validated, relevant, useable data in a standardised, easy to use format which is readily available, easily searchable and can be easily updated throughout the building's lifetime.

How we did it

Process

Using EDocuments' standardised approach and the industry recognized Uniclass classifications, information and data was collected throughout the project at the correct time allowing for detailed reviews and approvals to take place.

EDocuments staff managed to entire process of the collation of data and information, offering training to the supply chain and project team throughout the construction and defects period.

Software

EDocuments staff worked alongside the project team, keeping them informed and updated on progress using the built-in reporting tools. All reviews and approvals were carried out on the platform, thus creating a full audit trail of comments, reviews and sign off.

Being a phased project, the EDocuments structured templates ensured consistency between projects for the construction team, design team and the end user.

Key Outcomes and Lessons Learnt

Using standardised templates, processes and our platform for both phases helped with familiarity and efficiency, especially with reviews and sign off.
