Client Requirements

Delivery of a digital EDMS for the management of record documents for the 130-week Alder Hey Hospital Project. Delivery of asset data using the Equipment Data within the O&M Manuals to create asset registers to generate CAFM input files.

Project scope

The ACORN consortium Client required handover documentation to be managed, reviewed following stringent quality standards and included multiple categories of clinical and non-clinical FF&E information to be included. The Facilities Management Company were involved at an early stage so that the O&M web forms could be designed with the correct Levels of Information for over 15,000 types of maintainable assets.

Key Processes

Templates and workflows created in consultation with the Client to ensure a fully auditable and transparent process was followed throughout the project. Review and comments managed using Edocuments Springboard software to ensure full audit trail is maintained always. Online and offline delivery of final versions co-ordinated and managed to ensure data integrity.

Key Achievements

Creating asset register, spares lists, PPM schedules automatically from the database ensured that a single source of truth was used to create multiple document outputs.

Information can now be updated as CAPEX and OPEX changes occur during the operational life of the facility with outputs created to update the FM system. As 3D models become available we will be able to connect the Springboard asset data to the model objects.
